UNIFORM POLICY AGREEMENT
Dear Music Students and Parents,
This letter outlines the policies and responsibilities of using and caring for the uniforms that serve as performance attire for ALL the instrumental music groups at Sheldon High School (Marching Band, Concert Band, Symphonic Band, Jazz Band and String Orchestra).
Please read this document carefully and return the fourth page by ______________.
The uniform consists of the following components:
• Jacket
• Slacks
• Overlay ( not to be used for jazz bands or string orchestra)
• Hat ( not to used for jazz bands or string orchestra)
Uniform accessories that are supplied by the Music Boosters are as followed:
• Black Bow Ties
• Black Suspenders
• Hat Plume
• Suit Hanger
• Garment Bag
• Beret ( used in lieu of hat for Percussion)
Uniform accessories that are the responsibility of the students are:
• White collared dress shirt
• Black socks
• Black dress shoes
• Husky Pep Band Polo Shirt (not required for String Orchestra or Jazz band). This can be purchased for $_______. Each student should have at least one Husky Band shirt to show your support of the band at events. Parents and Chaperones are encouraged to purchase Polo Shirts.
Additional uniform requirements for the students in Marching Band:
• Marching shoes can be purchased for $________. Shoes must be worn with laces in place and tied. Write your name on the inside of each shoe.
• Short-sleeved shirt or undershirt must be worn under the uniform jacket to prevent any perspiration stains. Sleeveless, tank-style shirts are not acceptable.
• Gym shorts must be worn under the slacks for modesty’s sake when changing clothes. Private dressing areas are not available. Do not wear other shorts, pants, or jeans under the uniform slacks. They are too bulky and will stress the uniform fabric at the waist and side seams.
Cleaning:
Each student enrolled in a music performing class is asked to contribute $_______ at the beginning of the school year for cleaning and repairing uniforms. Dry cleaning of uniforms is the responsibility of the Music Boosters. Students are not individually responsible for cleaning UNLESS NEGLECT OR ABUSE IS APPARENT.
Assignment:
Students will be assigned uniforms during band camp in August. Each piece of the uniform is numbered and the student will be responsible for the uniform to which he/she is assigned. Students may not switch any part of the uniform with another student.
Fitting:
It is very important to the overall look of the band that each student be properly fitted in his/her uniform. The fitting will take place during band camp in August. Shoes and suspenders must be worn to insure proper fitting of the pant length. If the student has hair that goes below the collar, it should be put up for proper fitting of the hat. If, during the course of the school year, the student gains or loses weight and needs to different size uniform, please this to the attention of the band director or uniform chairperson. The pants should NOT be worn so tight that the waistband fabric is damaged or so loose that they sag and damage the fabric at the hem. A student may request a uniform refitting at any time. DO NOT ALTER THE UNIFORM.
Dress Guidelines:
• Wear BLACK SOCKS and black shoes for all the performances. Students in marching band must wear marching shoes. They must be cleaned and polished.
• Jewelry may not be worn (if it can be seen). This includes earring, watches, and rings etc.
• Hair cannot be below the collar, or you must pin it up or wear a hairnet. This applies to both girls and boys.
• Wear a SHORT SLEEVED undershirt or t-shirt and gym shorts under your uniform.
Uniform Care:
• After every performance, hang uniform neatly on the provided hanger. The slacks should be neatly hung to insure pressed creases at the next performance. Check the uniform numbers to make sure you are hanging and returning YOUR assigned uniform.
• Uniforms must remain in the storage room at school. DO NOT TAKE YOUR UNIFORM HOME without individual permission.
• White dress shirts worn for concert should be taken home and laundered regularly.
• Please notify the band director or uniform chairperson if you have any stains of repairs that need attention.
We don’t want to exclude anyone from participation due to financial need. Anyone unable to obtain the proper outfit should speak with the band direction or uniform chairperson so that we can help. Each matter will be handled individually and discreetly.
Our performance attire is top quality and costly. Sheldon High School receives no district money for the maintenance repair or replacement of uniforms. This is the responsibility of the parents which make up Sheldon’s Music Booster Organization. Estimated replacement cost for the uniforms is as follows:
• Jacket $150
• Slacks $180
• Overlay $260
• Hat $ 50
As you can see, we need every music student to use and care for the uniforms responsibly.

Sheldon High School
Band Boosters Club
ARTICLE 1: Name
1. The name of the organization or corporation shall be Band Boosters Club.
2. Hereafter referred to as the booster club, organization, association, or corporation.
3. This organization will include the Sheldon High Marching Band, Concert Bands, Jazz Bands and String Orchestra.
4. The principal office of the corporation will be at Sheldon High School, 8333 Kingsbridge Drive, Sacramento, CA 95829.
ARTICLE 2: Purpose
1. To promote and encourage community/area support of Sheldon High School music programs, with the following objectives:
a. To involve the community in supporting the music department.
b. To supplement school board support of music department activities.
c. To provide financial support for non-school activities.
d. To encourage students to participate in the activities of the music department booster club.
e. To encourage music department exposure.
2. To provide financial assistance and services for the music department, and to all supportive units as may be added.
3. To aid in the development of student interest.
4. To promote student leadership and responsibility.
5. To arouse and maintain an enthusiastic public interest in all phases of the music department.
6. To cooperate with those in charge of the music department and the school board to the end that the music department maintain the highest possible degree of efficiency.
7. To bring into closer relationship the home and school, that parents and the music department may cooperate intelligently in all phases of the school’s music program.
8. To aid the music department program in such a manner as members of the association and the music department directors shall deem fit and proper. Music department directors to include Bands, Jazz Bands, String Orchestra, Choirs, Precision Dance Team, Guitar and Piano.
9. To stimulate student and community interest in appreciation of the music department programs.
10. To promote and encourage student cultural improvement through appreciation of the performing arts.
11. To actively support all performances of the music department programs.
12. To lend all possible support, both moral and financial, to the music department programs in the school.
13. To serve as a means of communication to keep parents of music department members informed as to the activities and projects of the performing groups.
14. To provide for the music department group members those things over and above that which is provided by the school board, such as:
a. Extra activities throughout the year.
b. Refreshments
c. Banquet
d. Awards, in keeping with school policy and approved by the executive board and music department directors.
e. Funds for any projects, activities, or trips that might be proposed and approved.
15. To make plans and carry out fund raising and support of activities and projects.
16. To assume responsibility for publicity covering any activity or project sponsored by the organization.
17. To maintain enthusiastic interest in the music department activities in cooperation with the directors, assistants, and school administration.
18. To work and assist the music department directors.
19. To aid in the improvement of the music department programs of the school through a better understanding of the goals and the purpose of the music department, and to give moral and financial assistance whenever possible.
ARTICLE 3: Structure
1. Under the provisions specified in the bylaws, this organization shall be governed by the elected officers, the executive committee, and the membership, with cooperation of the music department directors.

Band Booster Club Bylaws
Article 1: Membership
1. The association shall have only one class of members. The members shall be all parents of students participating in the organization’s activities and any person whose interest is to further the purpose of the organization.
2. The membership of this organization shall include any adult willing to promote the purpose of the organization.
3. Members shall be parents or legal guardians of the students in the Sheldon High School Band and any interested persons desiring to participate in the functions of the organizations.
4. Sheldon High School Band students may attend meetings as requested by the Executive Committee.
5. Students are not eligible for membership.
6. Parents of pupils active in the Sheldon High School Band are automatically members.
7. Other interested parties may become honorary members.
8. Each member shall have one vote on any matter under consideration by the membership at a meeting of the membership.
9. Members shall not be required to pay a membership fee.
Article 2: Officers
General Guidelines
1. The officers of this organization shall be President, Vice-President, Secretary, Treasurer, and Public Relations.
2. The officers of this organization shall serve without compensation.
3. Only one person of any family may hold an elected office during any one school year. However, one family member may jointly hold an office.
4. To hold an office, a member must have a child who is currently active in the Sheldon High School Band.
5. A member shall hold only one office at a time.
6. Officers of this organization shall serve for a term of one year, but may be re-elected.
7. All officers shall transfer to the successors all books, papers, and other property after the May meeting and prior to the June meeting.
Nominations
1. Candidates will be presented at the general membership meeting in April.
2. Nominations may be made by members of the organization. Such nominations must be in writing and filed with the secretary no less than five (5) days before the annual meeting at which the officers are elected.
3. Election of officers will take place at the May meeting and the new officers will assume their duties in June.
Elections
1. Officers shall be elected form the general assembly at the May meeting of each school year.
2. A majority vote of the members present shall constitute an election.
3. Elected officers shall serve a term of one year beginning June and ending in May of the following year.
4. They shall be elected annually and installed at the May meeting to take office at the June meeting.
Duties of the President
1. The president shall be in communication with the Sheldon High School Band Director and all officers of the organization.
2. The president shall have supervision over the business affairs of the organization.
3. The president shall act as judge of all elections and declare results.
4. The president shall cast a deciding vote in case of a tie.
5. The president shall be chairman of the Executive Committee.
6. The president shall preside at all executive and general meetings and maintain order.
7. The president shall enforce a strict observance of the bylaws of the organization.
8. The president shall put all questions, when seconded, to a vote.
9. The president shall direct the secretary to call special meetings of the organization or have the power to do so himself or herself.
10. The president shall serve ex-officio on all committees.
11. The president shall represent the organization at any meeting the organization delegates invite him or her to attend.
12. The president shall be available for advice and counsel during the year following the completion of his or her term in office, at which time he or she shall have a consultation session with the incoming president and turn over all appropriate files and reports.
Duties of the Vice-President
1. The Vice-President shall perform duties of the president in absence of the president.
2. Upon resignation of the president, the Vice-president shall fill the office of the president until a special election can be held.
3. The Vice-president shall be in charge of parliamentary procedure.
4. The Vice-president shall act in the capacity of coordinator for all fund raising activities and secure necessary permits for such activities. In this capacity, he or she shall serve as chair of the fund raising committee.
5. The Vice-president shall distribute any literature or materials at meetings that are pertinent to planned discussion.
6. The Vice-president shall prepare a final written report of all his or her activities and duties, which shall be given to the president upon completion of his or her term in office.
Duties of the Secretary
1. The secretary shall attend all meetings and act as clerk thereof, and record all votes and minutes of all its transactions.
2. The secretary shall keep a copy of its Bylaws.
3. The secretary shall attend all correspondence.
4. On instructions from the president, the secretary shall conduct all correspondence for the organization including the sending of appropriate thank you notes.
5. Copies of all correspondence shall immediately be given to the president.
6. The secretary shall keep a correct record of the proceedings of all meetings of the organization and executive committee.
7. A copy of these recordings is to be given to each member of the executive committee prior to the next meeting.
8. The secretary shall present a written report of minutes at all regular meetings including a record of all attendees.
9. The secretary shall notify those elected to office within ten (10) days of their election.
10. The secretary is responsible for all correspondence and shall perform other duties assigned by the president and the Executive committee.
11. The secretary shall keep a file of all recordings, communications and flyers.
12. \The secretary shall read and answer all correspondence and shall have custody of same.
13. Upon leaving office, the secretary shall transmit all property of he organization entrusted to him or her to his or her successor.
14. The secretary’s final written report of all duties performed shall be given to the president upon completion of term of office, along with the “secretary book” and all papers of the organization.
Duties of the Treasurer
1. The Treasurer shall be the chair of the budget committee and be responsible for presenting the budget to the general board for review and for presenting the budget for adoption at the first general meeting of the fiscal year.
2. The treasurer shall maintain correct amounts of all monies.
3. The treasurer shall a complete financial report at each meeting.
4. At all meetings, the treasurer shall submit a written report to the president and the secretary. The report shall include beginning balance for the organization’s accounts, itemized income, itemized expenses and ending balance.
5. Records may be audited.
6. The treasurer shall prepare a summary of finances at the end of the fiscal year which shall be available to all members. Included in the report shall be an itemization of expenses and profits from each fund raising activity.
7. The treasurer’s final written report of all duties performed shall be given to the president upon completion of term of office, along with the checkbook, “treasurer book” and all financial papers of the organization.
Duties of Public Relations
1. The Public Relations director shall assume responsibility for publicity covering any activity or project sponsored by the organization.
2. The Public Relations director shall assume the responsibility of soliciting and advertising.
3. The Public Relations director shall publish a periodic newsletter.
4. The Public Relations director shall coordinate a Parent Social to be held at the September meeting.
Vacancies
1. In case of a vacancy in the office of president, the vice-president shall serve for the unexpired term.
2. In the event of a vacancy in an elective office, the Executive Committee may fill an unexpired term by appointment.
3. Any officer or committee chairman may be removed by two-thirds vote of the Executive board.
ARTICLE 3: Meetings
General Meetings
1. The general meeting of the organization shall be held on the second Tuesday of each month Monday nights at 7:00pm., once a month, unless otherwise directed by the Executive Committee. They will be held in the Band Room unless otherwise noted.
2. The May meeting of the school year shall be known as the annual meeting at which time annual reports shall be received and officers for the following year shall be elected.
3. The Sheldon High School Band Director will encourage attendance by making suitable announcements.
4. Notices shall be made of all meetings.
5. Meetings shall be open to all members.
Special Meetings
1. Special meetings may be called by the president at any time or by a majority of the Executive Committee.
2. Special meetings may be called at the discretion of the Executive Committee or the Sheldon High School Band Director.
3. All members are to receive notification for such meetings stating the purpose of the meeting.
4. No other business may be transacted than that for which the special meeting was called.
5. Business transacted at all special meetings shall be confined to the objects stated in the call and matters germane thereto.
Quorum
1. A meeting of members duly called shall not be organized for the transaction of business unless a quorum is present.
2. The members present at a duly organized meeting cannot do business until adjournment, notwithstanding the withdrawal of enough members to leave less than a quorum.
3. A quorum shall be constituted by three (3) of the five (5) Executive Committee members.
Executive Committee Members
1. Executive Committee meetings may be called by any member of the Executive board upon agreement of the majority of the Executive board, or by the Sheldon High School Band Director.
2. All members shall be given reasonable prior notice by the secretary regarding the time, place, and purpose of an executive committee meeting.
3. A report of business transacted at each executive meeting shall be made by the president at the following meeting of the general membership.
4. Three (3) of the five (5) Executive Committee members shall constitute a quorum at executive committee meetings.

Parliamentary procedure:
1. The latest edition of Robert’s Rules of Order, shall govern the organization in all cases to which they are applicable and not inconsistent with any provision of these bylaws.
2. The aforementioned constitution and bylaws shall govern the Sheldon High School Band Boosters Club.
ARTICLE 4: Committees
Executive Committee
1. The elected officers constitute the Executive Committee.
2. The purpose of the Executive Committee shall be to facilitate business at general meetings. This shall include the following:
a. To review plans and activities of the various other committees.
b. To evaluate the plans of the fund raising committee for fund raising projects and to select and present appropriate options to the membership for approval or modification.
c. To recommend to the general membership specific expenditures either for the operation of the organization or for the benefit of the Sheldon High School Band in keeping with the guidelines of the annual budget.
d. To recommend to the general membership modifications to the annual budget approved at the May meeting.
General Committee
1. Standing committees are those that function year-round or that have a significant impact upon total operation of the boosters. These committees include: Budget, Public Relations, Fund Raising, and Telephone. These shall consist of members from the general membership and shall not be limited in number.
2. Special committees may be established by the president for specific assignments from time to time throughout the year.
3. A chairman for each committee shall be appointed by the president with the approval of the Executive Committee. Terms shall be for one year, and any organization member is eligible to serve. A chairman shall have general supervision of the committee, shall hold meetings and conduct business when necessary, and shall submit a report to the Executive Committee periodically and present a report at each general meeting.
Budget Committee
1. The Budget Committee shall consist of the Sheldon High School Band Director and elected officers.
2. The Budget Committee shall prepare and submit to the organization a proposed budget at the first regular meeting of the school year.
Telephone Committee
1. The Telephone Committee shall coordinate telephone notification of Sheldon High School Band activities to the membership.
Committee Finances
1. Any committee may be given a monetary advance to set up a project by majority action of the Executive Committee.
2. Committees engaging in fund raising projects or entering into contracts must have approval by a majority of the Executive Committee before the organization’s name may be used for financial obligations incurred.
3. All bills for expenses incurred by a committee member should be approved promptly by the committee chairman and forwarded to the Treasurer so that vouchers may be prepared for payment.
Finances
1. The organization is tax-exempt and shall make every effort to maintain it’s status as a tax-exempt organization.
2. Monies and funds are to be used to cover and support approved projects, activities and programs.
3. Student records, when maintained, are to record student contribution toward individual’s trip or planned student activity. At the conclusion of the trip or planned activity, all student accounts will revert to general funds. Funds recorded in these accounts are NOT the property of the individual students and may not be refunded or passed down to a younger sibling in any manner.
4. In the event a student moves, graduates, or quits the organization, the monies become part of the general fund of the Sheldon High School Band Boosters Club.
5. Parent contributions to support for student earned activities will be recorded as such.
6. The organization encourages selling through the fund raising program. Options are:
a. A student, by selling, may pay for the entire trip or activity.
b. A student, by selling, may pay part of the trip or activity.
c. Parents pay the entire amount.
ARTICLE 5: Awards
1. The organization shall recognize any student’s achievements in the field of music.
